Signers and order

In the Signers step of the Create Envelope wizard you set who signs. Together with the Signing order chosen in Details, this step determines who receives the link at send and who signs later, so each signature arrives at the right moment.

The Add Signers screen shows one row per person with two fields:

Field Use
Email Address that receives the signing link and, if you turned on OTP verification, the code. It identifies the signer throughout the process.
Name Full name. It appears on the signing page (“Signing as …”) and in the seal on the document.

Add another signer adds a row and the Remove signer icon deletes it. Empty rows are discarded when you continue. If something is missing, the application flags it with “Email is required” or “Name is required”.

Each row generates its own signing link. The same person can sign in several envelopes.

Review the list before you continue: the signers are fixed once the envelope is created. If you need to change them later, cancel the envelope and create a new one.

With Everyone signs at once (parallel signing), the Order field is not shown. At send, every signer receives the email You have a document to sign: {title} at the same time, and each signs whenever it suits them. The envelope moves to In Progress with the first signature and to Completed with the last.

The envelope page shows: “Parallel signing · Everyone was emailed at once. The order numbers below are not enforced.” In this mode, the numbers only reflect the order in which the rows were entered.

With Signers sign in order (sequential signing), each row has an Order field with a number. The numbers define turns:

  • At send, the signers with the lowest number receive the email.
  • When everyone in a turn has signed, those with the next number receive It's your turn to sign: {title}. Their link is generated at that moment, so the link expiry (by default 72 h) starts counting then.
  • Signers with the same number form one turn and sign at the same time.

If a signer opens their link before their turn, they see Waiting for Previous Signers and can press Check Again later. The envelope page sums it up: “Sequential signing · Each signer is emailed only once everyone before them has signed.”

Choose in order when one signature must come before the next, for example when the approver signs after the requester. Otherwise, at once is faster and no signer waits for another.

From the envelope page you can see each signer’s status: Pending (no link yet), Notified (received the email), Viewed (opened the link) and Signed. If a signer is not going to sign, cancel the envelope or let it expire. See Send and track.
