Archived envelopes
bb-sign keeps the Envelopes list focused on work in progress. After a while, closed envelopes move to the Archived Envelopes view, where they remain available for read-only reference.
Which envelopes are archived and when
Section titled “Which envelopes are archived and when”Every night at 02:00 UTC, bb-sign archives envelopes in the Completed, Cancelled or Expired status created more than 30 days ago.
- The period counts from the envelope’s creation. An envelope that took long to complete is archived shortly after completing.
- Envelopes in Draft, Sent or In Progress stay in the active list. If one of them is not going to complete, cancel it.
Browse archived envelopes
Section titled “Browse archived envelopes”The Archived menu entry opens Archived Envelopes. The view states: “These envelopes have been archived. They are read-only and data retrieval may take longer than usual.” Next to the title are the total (“N archived envelopes”) and the link Back to active envelopes.
You can filter by Workspace, just as in Envelopes; the total follows the filter. Each row shows:
- the title and its labels;
- the number of signers and the creation and archive dates (“N signers · Created … · Archived …”);
- the workspace and the status it was archived with.
How the information is kept
Section titled “How the information is kept”Archiving an envelope deletes nothing: the envelope, its signers, its documents and its evidence are kept according to Scope and retention. The archive view shows each envelope’s row; download the signed PDFs and review the audit trail while the envelope is in Envelopes. See Download signed documents.
Find a closed envelope
Section titled “Find a closed envelope”If a completed, cancelled or expired envelope no longer appears in Envelopes, look for it in Archived. If it is not there either, it may belong to a workspace you do not have access to: ask an administrator to check.
