Workspaces and members
Workspaces let you decide who sees each envelope. Every envelope belongs to one workspace, and its members and the admins see it. You can, for example, keep employment contracts to the HR team.
Who: organization admins and platform admins. Where: Settings, Workspaces tab.
The General workspace
Section titled “The General workspace”Every organization starts with the General workspace. All members of the organization are Contributors in General automatically: they can create and send envelopes there. General is permanent, so it is not renamed or deleted.
Create another workspace when you want a smaller group to see certain envelopes.
Create, rename and delete a workspace
Section titled “Create, rename and delete a workspace”-
Press New workspace, enter the Name and press Create workspace. Each workspace needs a distinct name.
-
To change the name, press Rename in the row and enter the New name.
-
To delete an empty workspace, press Delete and confirm with Delete workspace. Deletion is permanent.
A workspace can be deleted when it holds no envelopes, active or archived. Envelopes stay in the workspace where they were created, so a workspace that has held envelopes is kept. If you try to delete it, the app offers the View its envelopes link.
Add members
Section titled “Add members”Workspace members can be people or API keys. Press Members in the workspace’s row.
-
Under Add member, open Select…. People appear with their name and email, and credentials with their label followed by “(API key)”.
-
Choose the role and press Add.
-
To change a member’s role, use the role selector in their row. To remove them, press Remove and confirm.
Admins see every workspace without being added, which is why they do not appear in the member list.
Workspace roles
Section titled “Workspace roles”| Role | What it allows in the workspace |
|---|---|
| Viewer | See the envelopes and the archive. |
| Auditor | Everything a Viewer can do, plus read the audit trail and download documents. |
| Manager | Create, edit, send and cancel envelopes, upload documents, set labels, download and read the audit trail. |
Contributor is the role every member has in General. For someone to create and send envelopes in another workspace, make them Manager. The full table is in the Permissions matrix.
Limits and timing
Section titled “Limits and timing”- A person or API key can belong to up to 50 workspaces.
- Access changes apply when the person’s or integration’s session refreshes, within 300 s. This holds both for granting access and for removing it.
- If you see “Access for this workspace is still being set up. Try again in a moment”, wait a few seconds and repeat the action.
