Your first envelope
An envelope gathers one or more PDF documents, the people who must sign them and the conditions of the signature. With the Create Envelope wizard, opened from the New Envelope button in the side menu, you prepare and send it in five steps: Details, Documents, Signers, Review and Done.
As you move through it, the wizard keeps a draft in your browser (“Draft saved in this browser. Nothing is created until you send.”). If you close the tab and come back, you continue where you left off. To discard the draft, use Start over.
Before you start
Section titled “Before you start”- You need permission to create envelopes in at least one workspace. If you do not see the New Envelope button, ask an administrator for the Contributor or Manager role in a workspace. See Organizations, workspaces and roles.
- Have the PDFs to be signed at hand, up to 50 MB each.
- Have the email and full name of every signer.
Create and send the envelope
Section titled “Create and send the envelope”-
Details. In Envelope Details, fill in the Workspace (General by default) and the Title, the only required fields. You can also add Labels, a Message to signers, the option Require OTP verification for signers (on by default), the Signing order (Everyone signs at once or Signers sign in order), the Link expiry (hours) (by default 72 h) and the date Expires at (optional). Press Next. Every field is explained in Create an envelope.

Documents. In Upload Documents, press Click to upload PDF and choose one or more PDF files. Each file uploads right away and appears in the list. See Attach documents.

Signers. In Add Signers, type the Email and Name of each person and use Add another signer to add more. If you chose signing in order, you also see the Order field. See Signers and order.

Review. In Review & Send, check the summary: title, workspace, OTP verification, sequential signing, documents, signers and labels. Press Send Envelope and confirm with Send in the Send Envelope? dialog.

Done. The Envelope Sent! screen shows each signer’s signing link with a Copy button. bb-sign has already emailed each signer their link (with signing in order, the first ones in the order). From here you can go to View Envelope Details or Create Another.
What happens when you send
Section titled “What happens when you send”On send, the envelope moves from Draft to Sent and every signer receives a unique link by email. From that moment the documents and the list of signers are fixed, which guarantees that everyone signs exactly the same thing. If you need to correct something, cancel the envelope and create a new one.

Finish a pending send
Section titled “Finish a pending send”Send Envelope creates the envelope with everything you gathered and then sends it. If the envelope is created but the send does not complete (for example, because your organization reached a limit of its plan), the envelope stays in Draft and the wizard says so:
The envelope was created but not sent. Sending again sends it as it is; to change it, open it from Envelopes.
Once the cause is resolved, press Send Envelope again. If you close the wizard and come back later, it recognizes the envelope (“You already created this envelope, but it was not sent.”) and offers Send the envelope you already created.
From Envelopes you can also open that draft to change its labels or cancel it. If you need different documents or signers, cancel it and create a new one.
What the signer sees
Section titled “What the signer sees”The signer does not need an account. They receive an email in English with the subject
You have a document to sign: {title}, open the link, review every document, enter the
verification code if you requested one, draw or type their signature and download their copy at the
end. Knowing that path helps you answer their questions.
