Send and track

Once sent, the envelope moves forward on its own: each signer receives a link and signs, while bb-sign records every step and reminds those who have not signed yet. From the Envelopes list, the detail page and the Dashboard, you always know where each envelope stands.

The status appears in the list, on the Dashboard and on the detail page:

Status Meaning
Draft Created and waiting to be sent. No signer has a link.
Sent Sent; no signer has signed yet.
In Progress At least one signer has signed and others remain.
Completed Everyone signed. The signed PDFs are generated next.
Cancelled A manager or an administrator cancelled it. The links are closed.
Expired The Expires at date arrived before completion. The links are closed.

Each signer also has a status of their own: Pending (no link yet, when signing in order), Notified (received the email), Viewed (opened the link) and Signed. The full cycle is described in Envelopes and signers.

Envelopes shows the envelopes of the workspaces you have access to, newest first, ten per page. Next to the title is the total (“N total envelopes”); from 10,000 envelopes on, the figure is shown as “10,000+ envelopes”.

The filters can be combined:

Filter Control
Workspace Workspace selector, with All workspaces by default. It appears when you have access to more than one workspace.
Status Filter by status selector, with the values ALL, DRAFT, SENT, IN_PROGRESS, COMPLETED, CANCELLED, EXPIRED.
Title Search by title… field, which searches as you type.
Dates From date and To date, on the creation date.
Labels Filter by label…: choose the key, type the value and add it. You can combine several.

Each active filter appears as a chip you can remove on its own; Clear all removes them all. Each row shows the title, up to two labels, the workspace, the number of signers, the creation date and the status.

When you open an envelope you see its title, its identifier, the workspace, your role in it and the labels, which contributors and managers can change with + Add label. The page is organized in sections:

Section Contents
Envelope details Status, OTP Required (Yes or No), Created and, if set, Expires, with the suffix (Expired) once the date has passed.
Documents (N) Each file with Original PDF and, on a completed envelope, Signed PDF. While the signed PDF is being generated, Signed PDF processing… is shown. See Download signed documents.
Signers (N) The mode (Sequential signing or Parallel signing) and, per signer, name, email, Order #N, signing date and status.
Audit Trail (N events) Each event with its type, who triggered it (the signer’s email or System), the date and time and its hash. Available to the workspace’s auditors and managers. See Evidence and audit.
Actions Cancel Envelope, for those who can cancel, on envelopes in Draft, Sent or In Progress. See Cancel an envelope.

If an envelope does not exist or you do not have access to it, the application shows “Envelope not found, or you don’t have access to it.” For security, the answer is the same in both cases.

The Dashboard summarizes the envelopes you can see in four figures: Total Envelopes, Completed, In Progress (which groups envelopes in Sent and in In Progress) and Drafts. Below, Recent Envelopes shows the last four with their status, and + New opens the wizard.

bb-sign reminds signers who have a signature pending. Every day at 09:00 UTC, it sends Reminder: please sign {title} to every signer who received their invitation more than 48 h ago and has not signed yet, with at least 24 h between two reminders to the same person. Reminders end when the signer signs or when the envelope completes, is cancelled or expires.
